Submission Guidelines

Each applicant may submit up to three works. Each work can be a single image or a sequence of images compiled in one picture. Images can be of macro- and microphotographs, digitally manipulated photographs, drawings, paintings or graphic art.

In case of images employing non-digital media, a high-resolution digital photograph of the artwork has to be submitted. The applicant has to indicate during submission if the image is to be presented in physical form (e.g., drawings or paintings). Applicants whose images are accepted into the exhibition for presentation in physical form will have to bring their pieces to the workshop venue on May 24. All other selected digital images will be printed and prepared for display by the workshop organizers.

Images have to be submitted before the deadline by email to the address

The images may deal with the theme of Biophysics or “The Physics of Life”, but the organizers are particularly interested in work reflecting on the topic of the workshop, the Biophysical Mechanisms of Development. All submitted artwork will be reviewed for compliance with content restrictions as well as technical requirements. The organizers reserve the right to reject artwork that is out of compliance or that may be considered offensive or inappropriate.

Images should be submitted in JPEG and RGB color format. Each file size must not exceed 5 MB.
Each image file should be identified with the name of the author and the number of the image, in the following format: first name initial, family name, and number of the image (e.g., ATavares1.jpg).

Images to be presented in physical form must be smaller than 50 cm x 50 cm, thinner than 1.2 cm, and attachable to a poster board using velcro.

Together with the artwork, the applicants are asked to submit a title as well as a brief description of the work. The description must not be longer than 100 words and should be understandable to the general public.

Image submission deadline is March 31, 2011, 11:59 pm (GMT).

From Apr 11 to May 6, 2011, the submitted images will be available for online voting at the Facebook page.
Everyone is invited to vote according to his or her personal preference, by using the “Like” button. The 20 images with the highest number of votes (“Likes”) will be selected for display at “The Physics of Life” Exhibition.

Contest and Award

The 20 selected artworks will automatically enter a contest for the award of an Amazon Gift Card.
The winning artwork will be selected by a jury composed by members of the Organizing and Scientific Committee of the EMBO BMD2011.

The winner will be announced at the Workshop Gala dinner, on May 26, 2011. If the winner is not a delegate of the workshop, he/she will be informed of the decision by email and invited to attend the workshop Gala dinner. If the winner is not able travel to Lisbon, the award will be sent by mail.

The Science and Art Exhibition will take place for the duration of the workshop. Scientists and artists are asked to submit photographs or graphic art for this exhibition. A space will be allocated where the submitted artwork can be viewed. The selected images will be shown both in physical form and projected as part of a slide show during the conference breaks. Participants will be informed in advance if exhibition is either prolonged or moved elsewhere.

Copyrights and Permissions

By submitting artwork to the Art and Science Exhibition the artist gives permission to the EMBO BMD2011 organizing committee to display this work and reproductions thereof during the workshop and in materials associated with this and future events, such as program booklets, (electronic) newsletters, promotional brochures and websites. All images will carry the applicant's credit line. The organizers will not use the submitted images for any purpose without previous authorization by the author.
